What We Are Looking For
AT WILL MEDIA (AWM) is currently seeking a full time Financial Manager to manage the financial department of their growing business. The Financial Manager manages accounting records and is responsible for the production of financial reports, and will help create streamlined processes where necessary. The controller oversees the accounting process, including accounts receivable, accounts payable, payroll, and compliance. The Financial Manager reports to the CEO.
The successful candidate is an experienced financial executive with a collaborative attitude who finds proactive solutions and has the ability to manage multiple accounts at once. The position is fully remote and does not require residency in any specific state but should be familiar with NY and CA payroll.
Responsibilities & Duties
Accounts Payable
Receive invoices payable from project leads and other stakeholders and code to correct project
Receive legal bills and code to projects as needed
Confirm receipt of contractor W9s and file accordingly
Get vendor payment details and acceptable payment methods
Conduct bi-weekly finance meeting with CEO to go through all current A/P
File invoices digitally in email folders as well as attached PDFs in QBO for quick reference
Set up insurance payments for company and other entities as needed
Expenses
Enter credit card expense receipts sent from project coordinators/purchasers and file receipts in email
For transactions that no receipt has been sent within one week, reach out to administrative manager for assistance in categorization and project tracking
Projects
Set up new projects in QB
Create progressive invoices per contracts, sent by CEO and Director-level staff
Track expenses and invoices payable, including contractor payments
Invoice billable expenses for Work For Hire projects, at the discretion of Director of Production Services
Periodically review projects’ margin to make sure healthy
Accounts Receivable
Invoice per contracts, or at the direction of CEO and other stakeholders
Set up clients with their payment platform as needed
Follow up with clients on past due invoices.
Alert project leads if needed when payment has been received
Payroll / HR
Enter new hires in TriNet per offer letters and documentation
Enter salary adjustments per CEO or other Exec-level staff
Enter weekly payroll hours for hourly team
Enter payroll invoice details journal entry weekly, and withdrawal
Assist as needed with other LLCs set up and processing of payroll
Banking
Maintain QBO banking connections in QB
Correctly and carefully match transactions in the bank feed
Transfer funds between accounts as directed by CEO
Set up Vendors for ACH and Bill Pay payments as needed
Reconcile bank accounts monthly in the first week of each month
Reconcile company Visa after the period ends, monthly on or around the 8th
Meetings
Review AP and receive approvals on what can be paid and what to hold
Review AR and discuss what is outstanding, and what will be ready to be billed soon
Review other outstanding finance department items
Discuss project-specific P&L
General & Miscellaneous
Communicate with accountant as needed regarding taxes and various entities filings
Respond to emails and organize them in folders
Provide financial reports as requested
Review financial reports monthly
Coordinate with outside production accountants for projects which require them
Qualifications & Skills
Bachelors degree in Business/Economics
5+ year minimum finance experience
Clear vision and strategy for finance management
Strong rolodex and/or relationships with key podcast distributors, producers, and executives
Proven success managing finances for productions in various stages
Familiarity with legal and contractual processes
Excellent and strategic written, interpersonal, and verbal communication skills
Working knowledge of G-Suite, Slack, Quickbooks, Excel, Bill.com, and other payment platforms

Salary Range: $80K - $100K
